Puddleduck Valley - Terms & Conditions

1. Bookings

Puddleduck Valley only accepts bookings from persons over 18 years of age. We reserve the right, at all times – without statement of reasons – to refuse a booking. Puddleduck Valley will confirm the booking via e-mail within 24 hours. The confirmation must be checked immediately on receipt for any errors. Possible or claimed inadequacies must always be notified by email or phone within 10 days following the date of the confirmation/invoice and in any case before the start of the stay. If, within 10 days after the booking, you are not in possession of a confirmation email, you must get in touch with Puddleduck Valley by email or telephone.

Travel Insurance: Puddleduck Valley strongly advises that guests should take out travel insurance to cover against damage, cancelation or curtailment of their booking

2. Group Bookings

It is the right of Puddleduck Valley to refuse group bookings if we feel this may be of detriment to other guests staying on the farm. Single gender groups are only permitted by telephone confirmation. It is our right to refuse entry to any group bookings not authorised via telephone or email and any monies paid will not be reimbursed. 3. Prices

The prices on www.puddleduckvalley.co.uk or via www.supercontrol.co.uk are not binding; Puddleduck Valley reserves the right to change these prices. At the time of booking you will be informed of the prices applicable. The price stated on the confirmation is binding. Discounts and/or special offers can no longer be used after the confirmation/invoice has been sent by Puddleduck Valley.

4. Accommodation rental

In the rental price of every accommodation, the following is included:

  • Rental of accommodation
  • Bed and kitchen linen
  • Use of and access to the Puddleduck Valley grounds (where permitted)
  • Vehicle access to identified car parks and spaces
  • Use of water
  • Use of electricity within your accommodation
 

Not included are, among other things:

  • The charging of electric vehicles. This is available from our dedicated charging point. Guest must not use domestic sockets for charging vehicles.
  • Washing of the dishes and cooking utensils. A £10 charge will be levied if washing up has not been done.
  • Keys: A £15 charge will be made for the replacement of keys and the fob in the case that they are lost or not returned.
  • Separating recycling and waste into bags and placing it in the appropriate large bins as identified in the guest guide in the accommodation.
  • Cleaning of accommodation during your stay. Cleaning may be arranged as an additional chargeable service. Please contact 01409 281311 for prices and booking.
  • Replacement bedding and linen. We offer free bedding replacement for the first instance of bed wetting. The second instance is chargeable at £10 for replacement bedding.

5. Pets

Dogs are permitted to stay with guests free of charge (maximum 2 dogs per accommodation) in Buttermilk & Stables cottages if your party does not include children.

Where a booking is made for accommodation that does not accept pets, but a guest arrives with a pet, Puddleduck Valley will attempt to arrange kennelling for your pet at your cost. Guests are not permitted to stay in accommodation with pets where pets are not permitted.  If guests do not wish for their pet to be kennelled it is deemed that the guest has cancelled their booking and no refund will be provided.

Dogs are permitted to stay with guests for an additional fee of £25 per dog per stay (maximum 2 dogs per accommodation) in Buttermilk & Stables cottages if you are travelling with children.

Dogs up to a maximum size of a Labrador are permitted (57cm at withers).

Dogs are not permitted in bedrooms or on furniture.

Dogs must not be left alone in accommodation at any time.

Dogs must be on a leash (extendable leashes are permitted) at all times when outdoors at Puddleduck Valley.

All dog mess must be bagged and disposed of at the disposal points in all locations including the woods and fields.

Dogs are only accepted on the understanding that they are kept under control and must not display aggressive or threatening behaviour to other guests or representatives of Puddleduck Valley.

If a guest or guest’s dog breaches these terms, the representative of Puddleduck Valley may refuse the guest to take possession of the property or terminate the guest’s stay. In this event the guest shall be deemed to have cancelled the booking and the guest shall have no claim for compensation or reimbursement.

The guest is liable for all damage caused by his/her pets. Guests MUST make a representative of Puddleduck Valley aware of the damage so that we may make repairs prior to the arrival of next guests. Please be aware that we take 360 degree images of accommodation prior to arrival to keep an audit of the state of repair.

The guest should clean up any pet hair from the accommodation prior to final departure. A cleaning charge of £25 may be levied if this is not completed.

Puddleduck Valley reserves the right to levy the following additional charges for any extra cleaning required after the Guest’s occupancy:

Dog hair found on beds results in a cleaning fee of an additional £50.

Dog urine or faeces found in accommodation results in a cleaning fee of an additional £75.

Guests must inform a representative of Puddleduck Valley immediately. Failure to do so may incur penalty charges up to the value of the replacement of the carpet (£500).

If damage affects a subsequent booking, guests will be charged for the relocation of the subsequent booking to other accommodation (travel & accommodation fees) PLUS the full value of the booking affected at Puddleduck Valley.

6. Hot Tubs

A wood fired hot tub is available for use by guests staying in the Stables & Buttermilk cottages.

Additional terms & conditions relate to the use of the hot tub:

All users over 18 and those responsible for users under 18 agree to sign the legal agreement before using the hot tub.

Guests must only use dry firewood (<= 20% humidity) in the wood burning stove.

Guests must only enter the hot tub using the steps provided. Guests should maintain three points of contact (hands and feet) with the steps and tub when entering the tub to avoid slips and falls.

If any beverage other than water is dropped in the hot tub you will inform us immediately. We will treat the water with a bromine shock treatment to kill bacteria.

There is a danger of over-heating the hot tub either by adding too much fuel to the wood burning stove and/or failure to close the air-vent to the stove. Guests are liable for repair costs up to £3000 for the damage of the hot tub. We advise guests take out their own insurance to cover any damage that may be caused.

No more than four guests may use the hot tub at one time.

Babies up to the age of one year may not use the hot tub.

The insulated cover must not be stood or sat on. This will result in damage with a replacement cost of £400

Children must be supervised by a responsible adult at all times

Children must not use the hot tub alone

Guests must not sit on the side of the hot tub or on the drinks shelf

Guests must leave the water in the tub. If there is no water in the hot tub and the wood burning stove is hot, the hot tub will be damaged.

Glass must not be used in the hot tub.

 

Guests must not add bubble bath or detergents to the tub. This may cause discolouration of the water, the tub and the boiler.

Guests must not drink alcohol or be under the influence of drugs when in the hot tub.

Guests must not eat in the hot tub.

Guests with pre-existing health conditions that are worsened by heat or water vapour must not use the tub.

Guests with a bacterial or viral infection must not use the hot tub.

Guests must not use the hot tub if suffering from skin problems that are exacerbated by bromine, chlorine or activated oxygen.

Guests using the hot tub must be able bodied and be able to enter and exit the hot tub without assistance.

Pets are prohibited from entering the hot tub.

The insulated cover must not be removed without unlocking the straps, Ripped straps requires replacing the entire cover at a charge of £400.

Pregnant women must consult their doctor before using a hot tub.

Diving or jumping into the hot tub is prohibited.

Guests using medication that causes drowsiness or affects your blood circulation must not use the hot tub.

No electrical appliances are to be used in or close to the hot tub.

Misuse of the fire extinguisher incurs a £100 charge.

Guests are jointly and severally liable for all damage incurred to the hot tub during their stay.

7. Payments

Booking payments are made in two stages. The deposit must be paid at the time of booking. The balance of the booking amount must be in possession of Puddleduck Valley at the latest, 14 days before the start of your stay. In the event of bookings made within 14 days before the start of your stay the entire booking amount must be paid immediately.

In the case of late or incomplete payment of the amounts invoiced to you, you are in default. Puddleduck Valley will send you a reminder of the outstanding payment. If the amount, within 2 calendar days after the date of the reminder is not yet in possession of Puddleduck Valley, then we are entitled to unilaterally annul the agreement by means of an email or letter to the guest. You are responsible for all damages which Puddleduck Valley suffers or will suffer as a consequence of this, as well as all costs which Puddleduck Valley made with regard to your booking and the cancellation.

8. Alteration costs

In the event of bookings made within 14 days before the start of your stay the entire booking amount must be paid immediately.

9. Cancellations

In the event of a cancellation more than 2 weeks before the commencement of the stay, 100% of the rental amount is refundable.

In the event of cancellation is within 2 weeks before the start of the stay 100% of the entire rental amount will be payable.

10. Prior to Arrival

Please bring a copy of your booking confirmation email. If you have booked self check-in you will be provided with a security code for the key lock box for your accommodation by email.

11. Arrival and departure procedure

On arrival at Puddleduck Valley, you need to produce your booking confirmation email. 

If you have booked direct (email, phone or our website) you have access to your accommodation from 3pm on the day of arrival.

If you have booked via third party (booking.com, airbnb, expedia) you have access to your accommodation from 4pm on the day of arrival.


Should you be unavoidably delayed, please contact us on 01409281311. PLEASE DO NOT EMAIL OR TEXT. This number automatically forwards to our mobile phones if we are out and about on the land.

On the day of departure you must vacate your accommodation by 10:00am. 


12. Domestic Regulations

In order to make the stay on the farm for all guests as pleasant as possible, all guests must keep to the determined rules of behaviour laid down in the Domestic Regulations. You can ask for the Domestic Regulations on arrival. Breaching the Domestic Regulations can lead to removal from the farm without a refund of the rental sum or a part of it. Puddleduck Valley reserves the right to make alterations in the set-up and opening hours of the facilities and supplies at Puddleduck Valley. We would also bring your attention to the fact that it is possible that maintenance activities may be carried out during your stay on the grounds or to the accommodation(s) without you being entitled to any compensation.

13. Force majeure

Force majeure on the side of Puddleduck Valley exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Puddleduck Valley, including but not limited to threat of war, staff strikes, blockades, fire, floods and other disruptions or events.

14. Guest (Tenant) Liability, Damage & Cleaning Charges

Puddleduck Valley accept no liability for:

theft, loss or damage, of whatever nature, during or as a result of a stay at our site.

Falling into defect or putting out of action of technical equipment and loss or closure of utility supplies.

The tenant and those who accompany him or her, are jointly and severally responsible for all loss and/or damage to all goods, fixtures, fittings, equipment and property owned or leased by Puddleduck Valley which arises, for Puddleduck Valley and/or any third party as a direct or an indirect consequence of their stay, irrespective of whether this was caused through actions or refraining from actions by themselves or by third parties, who are at Puddleduck Valley through their making, as well as of all damage which is caused by any animal and/or matter which they have under their responsibility and you agree to a charge by Puddleduck Valley for the repair or replacement of the aforesaid damaged items including any postage where applicable.

Puddleduck Valley strongly advises guests to take out Travel Insurance.

If you leave your accommodation in an improper condition, additional (cleaning) costs will be charged.

15. Complaints

Despite all the care of Puddleduck Valley, it may occur that you have a genuine complaint. You must take up this complaint with us immediately, in order to allow us to solve the matter as soon as possible.

16. Assumption of Risks

Remember that you will be staying on a working farm with live animals and potentially dangerous farm equipment amongst other hazards such as but not limited to steep slopes, slippy surfaces, ponds, deep mud and fast flowing streams. Also, you must be aware that some of the equipment on site may be dangerous if misused. Whilst we take great care to keep you safe, accidents can happen and neither we nor the farm are responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise any children.

If you notice that any equipment looks faulty and/or unsafe you must inform a representative of Puddleduck Valley as soon as possible. Puddleduck Valley strongly advises guests to take out travel insurance against the risk of accidents and your stay being cut short. In the countryside it is not uncommon for travellers to suffer cuts, scratches, bites and falls. A number of organisms (including wasps, bees, hornets, ticks, mammals and snakes) in the U.K. countryside can cause upset, illness or disease. Puddleduck Valley takes no responsibility for any incidents or accidents you may suffer at the time or after your stay.

17. Day visitors

In principle, it is permitted for you to receive visitors during your Puddleduck Valley stay but representatives of Puddleduck Valley must be informed beforehand for fire safety, infection (Covid) and  security reasons.

18. General

Your contract partner is Puddleduck Valley LLP a limited partnership registered in England. These general conditions are applicable to all reservations, directly or indirectly made with Puddleduck Valley. Alterations are reserved on the contents of our publications. Obvious printing errors do not bind us.
